Job Purpose
The job holder shall provide a high level of executive support to the office of the GMD and GCFO to ensure the efficient and effective running and operations. They will be responsible for relationship management, strategic executive support, administration, and operations.
Key Responsibilities
- Manage a broad variety of administrative tasks including managing an extremely active calendar of appointments: composing and preparing correspondence that is generally confidential; organising and executing events on behalf of the GMD’s/GCFO’s Office.
- Coordinate meetings for the GMD/GCFO, including coordinating meeting logistics and preparing meeting materials, communicating with attendees, organising pre-briefs where required, and preparation of meeting minutes and circulation.
- Coordinates both domestic and international travel arrangements ensuring tight schedules and well-articulated itineraries; creates and modifies travel itineraries; informs and plans actions based on the itinerary with appropriate parties.
- Maintain an office setup that optimises workflow and ensures the GMD’s /GCFO’s office has the technology and any tools or equipment required to successfully perform their work and is operating effectively.
- Handles all office communication with professionalism and maintains the confidentiality of the office.
- Analyse enquiries, requests, and correspondence from internal and external stakeholders and determine the appropriate action needed.
- Act as the initial contact point for the GMD’s/GCFO’s office and communicate with senior executives, visitors, and stakeholders both internal and external with professionalism and maintain effective working relationships.
- Track actions assigned to the GMD’s direct reports and other stakeholders to ensure timely closure.
- Assist with a variety of office projects and processes – run project cycles end to end. This includes tracking, troubleshooting, preparing progress and final reports, and sharing recommendations.

Minimum Position Requirements
- A degree in business administration, PR, or a relevant field
- Must have legal knowledge/training or have gained experience working in a legal firm or has company secretarial knowledge and experience
- Proven experience in providing high-quality administrative and Executive support to senior- level staff.
- Possess proficiency in Microsoft Office products (Word, Excel, Outlook, PowerPoint, and Access)
- A Good understanding of Finance will be a definite advantage.
- Minimum 5 years of experience in a similar role in a busy and dynamic environment supporting an MD or C-Level executive.
